Who is responsible for your data

RAY ACQ LLC d/b/a Pro Party Entertainment is the controller of personal data used to run PPE accounts, support the service, maintain security, and manage our customer relationship. An entertainer or business using PPE may separately control the customer and event information it collects through its booking page.

Information we collect

  • Account and profile data: name, email, phone number, business details, sign-in records, and account preferences.
  • Booking and customer data: names, contact details, event dates and times, addresses, services, party details, notes, quotes, invoices, payment records, messages, and signed agreements.
  • Team and business documents: team relationships, onboarding answers, insurance documents, and tax forms users choose to upload and share.
  • Support communications: messages, feedback, and information sent when requesting help.
  • Usage, device, and security data: IP address, browser and device identifiers, activity, error records, and technical logs needed to operate and protect PPE.
  • Check-in data: when required by a business, an assigned artist’s check-in time, one-time device location, reported accuracy, distance from the event, and an optional check-in photo.

Paddle collects and handles payment details for PPE software subscriptions as Merchant of Record. PPE does not receive or store full card numbers.

Why we use it and our legal bases

  • Contract: to create accounts, provide subscriptions and features, process booking workflows, and deliver support.
  • Legitimate interests: to secure PPE, prevent fraud and abuse, troubleshoot problems, understand service performance, and improve the product.
  • Consent: for optional marketing, notifications, device permissions, or other choices where consent is required. Consent can be withdrawn.
  • Legal obligation: to meet tax, accounting, consumer-protection, law-enforcement, and other legal requirements.

Who receives information

  • the entertainer or business receiving a booking request and team members assigned or authorized by that business;
  • hosting, storage, email, analytics, error-monitoring, customer-support, security, and other service providers that help us operate PPE;
  • Paddle, for PPE software sales, subscription management, payments, tax compliance, invoicing, customer service, and returns;
  • professional advisers such as legal and accounting providers; and
  • courts, regulators, law enforcement, or other authorities when required by law or necessary to protect rights and safety.

We do not sell personal information or use booking information for third-party advertising.

Retention

We keep personal data only as long as needed to provide PPE, support bookings, maintain business and financial records, resolve disputes, protect security, and meet legal obligations. We then delete or anonymize it. Check-in photos and precise map coordinates are deleted automatically 30 days after check-in, or sooner if the artist deletes their account; the attendance record may remain. PPE captures location only when an artist submits a required check-in; we never track you continuously.

Business account closure: business owners may request account closure through PPE or by emailing support@propartyentertainment.com. Closure may require first resolving active subscriptions, bookings, payments, refunds or disputes. Closing an account does not automatically delete records we must reasonably retain for accounting, legal, security, dispute-resolution or shared event-history purposes. Team members keep their own independent PPE accounts. Personal information may be deleted or anonymized when appropriate, subject to necessary retention. Contact support@propartyentertainment.com about account closure or privacy requests.

Security

We use appropriate technical and organizational safeguards, including access controls, encryption in transit, restricted document access, and monitoring. No online service can promise absolute security.

Cookies and similar storage

PPE uses essential cookies and browser storage to keep users signed in, remember preferences, protect the service, and make features work. If optional analytics or marketing technologies are introduced, we will provide any notice and choices required by law. Browser controls can remove or block storage, but essential parts of PPE may then stop working.

International transfers

Our service providers may process data outside your state, country, the UK, or the EEA. Where required, transfers use recognized safeguards such as adequacy decisions or Standard Contractual Clauses.

Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of your data; object to certain uses; withdraw consent; and complain to a data-protection authority. We may need to verify your identity. Where GDPR applies, we normally respond within one month.

For data controlled by an entertainer, contact that entertainer first. For PPE account, support, or privacy requests, email support@propartyentertainment.com.
